Position Summary

The HR Coordinator is responsible for supporting day-to-day HR operations, planning and executing engagement activities, managing employee data, and supporting onboarding logistics.   This role also serves as the first point of contact for employees, offering a welcoming and professional presence while providing support and guidance for general HR inquiries.

Essential Duties & Responsibilities (Other duties may be assigned)

  • Coordinate employee engagement initiatives, including events, recognition programs, team outings, and company-wide meetings
  • Maintain and communicate HR and employee experience calendars, ensuring key activities are tracked and well-organized
  • Serve as a visible and approachable resource to employees, responding to day-to-day HR questions and requests
  • Support onboarding by preparing and collecting new hire paperwork, assisting with system setup, and contributing to a welcoming experience
  • Maintain accurate employee records in the HRIS, ensuring timely updates and data integrity
  • Track and process invoices and payments for benefits carriers, HR vendors, and contractors, working closely with Finance to ensure timely approval and resolution of discrepancies
  • Maintain and regularly update HR-owned SharePoint pages to ensure content is accurate, relevant, and user-friendly
  • Assist in coordinating internal meetings, trainings, and performance review cycles
  • Draft internal HR communications and engagement-related content (emails, invites, announcements)
  • Support compliance and documentation efforts, including personnel files, audit prep, and policy tracking
  • Assist with the recruiting process by coordinating interview scheduling for candidates who have successfully completed the pre-screening stage and assist with other recruitment related tasks as needed
  • Assist with managing executive calendars on an as-needed basis, including scheduling meetings and coordinating appointments
  • Provide general administrative support to the HR team, including scheduling, reporting, and project coordination
  • Participate in and contribute to cross-functional HR projects and initiatives that promote a strong and inclusive workplace culture

Minimum Qualifications (These are the requirements that all applicants MUST HAVE to be considered for this position)

  • High school diploma or GED
  • 1–3 years of experience in an HR, customer service, or administrative support role
  • Genuine enthusiasm for helping others and building relationships across teams
  • Excellent communication and interpersonal skills
  • Highly organized with strong attention to detail and the ability to manage multiple priorities
  • High level of discretion and professionalism when handling confidential information

Preferred Qualifications

  • Associates or bachelors degree
  • Experience with invoice processing and billing coordination
  • Experience with ADP WFN
