Position Summary

This position supports Senior Leadership by providing clerical and administrative services and assistance, of moderate complexity, requiring the use of judgment and discretion on a daily basis. The position completes a broad variety of administrative tasks including: managing an active calendar of appointments; completing expense reports; composing and preparing correspondence that may be confidential; arranging complex and detailed travel plans, itineraries and agendas; managing internal/external events and compiling documents for meetings. The Executive Assistant will be knowledgeable of leadership's accountabilities and business needs.

 

Work Schedule: This position currently follows a hybrid work model. Employees are required to work from the office at least four days per week (Monday - Thursday), with Friday available for remote work, offering a blend of in-person collaboration and flexibility.

Essential Duties & Responsibilities (Other duties may be assigned)

  • Handle a wide variety of situations involving the clerical and administrative functions of the office; assist assigned senior leadership with management of calendar, schedule, and workload to ensure senior leadership is adequately prepared for meetings.
  • Provide direct support by coordinating departmental activities, appointments; and independently draft and edit correspondence, speeches, memoranda, reports and publications.
  • Answer the phone, make arrangements for conference calls and meetings, including, but not limited to, Teams, Zoom, and WebEx meetings; maintain administrative department records up-to-date; order supplies and products, assist with scanning, printing, faxing and photocopying.
  • Perform an array of business transactions, such as travel requisitions, account reconciliation, inventory, financial analysis and forecasting, etc. for assigned area and assist in preparing and maintaining departmental budgets and fiscal reports.
  • Coordinate team building events and complex travel arrangements, both domestic and international, including flights, car rental and hotel accommodations.
  • Assist with all aspects of onboarding new hires, including preparation and coordination of training schedules.
  • Act as a liaison between assigned area and other departments or independent associates through multiple communication channels and communicate relevant information to senior leadership, troubleshoot and resolve issues.
  • Provide direction and perform project management duties associated with normal department work load and special projects.
  • Handle logistics and prepare presentations, reports, graphs and agendas for meetings and events; and serve as the representative for administrative matters.
  • Perform any other administrative duties as requested by assigned leadership and/or supervisor. 

Minimum Qualifications (These are the requirements that all applicants MUST HAVE to be considered for this position)

  • Associate’s degree or equivalent experience.
  • 5 years of previous senior level executive administrative experience.
  • Strong interpersonal skills, detail oriented and able to coordinate/manage multiple tasks simultaneously.
  • Must have knowledge of business English, spelling and punctuation, office practices and procedures and previous experience in calendar/event maintenance of a high profile executive.
  • Skilled in the use of Microsoft office software to include Word, Excel, PowerPoint, and Outlook.
  • Strong interpersonal skills, detail oriented and able to coordinate/manage multiple tasks simultaneously.
  • Experience performing various accounting and finance functions.

Preferred Qualifications

  • 7 years of previous senior level executive administrative experience.
  • IAAP Certified Administrative Professional (CAP) certification.
