  • Position Summary

    This is a contract position:  The Destination Management Team is responsible for all venue related items / logistics for all North America and Canada corporate hosted events. We manage all travel and transport for staff and select associates to/from events, hotel rooming lists, order and arrange all food and beverage, review and settle final venue invoice, work with venue on room drops and special touches and partner with local DMC companies for incentive travel. We negotiate all contract terms and concessions and detail all North America and Canada corporate hosted events – ISAU, UIA, Celebration, NYKO and all the incentive trips.

    Essential Duties & Responsibilities (Other duties may be assigned)

    • Create and update Cost Estimate for Events
    • Create Calendar Invites for Deposit Schedules
    • Create Master Food & Beverage List
    • Manage team OneDrive site to ensure all files and documents are properly placed
    • Update Event actuals report at the conclusion of each event
    • Create Event Room Allocations
    • Complete Prize and Award Tracking for 1099 Reporting after events conclude
    • Complete Corporate Staff Event Tracking Report after events conclude
    • Assist with booking staff flights for events
    • Assist with booking and arranging ground transportation for staff at events
    • Create template for staff confirmation emails & send out all confirmations to staff 2 weeks prior the event
    • Review Banquet Event Orders for accuracy
    • Review Flight Manifest & Transportation Manifest for accuracy
    • Review Rooming List details for accuracy and assist in modifications
    • Update event documents, templates and processes for the team as needed
    • Create & Update Event Binders
    • Update Event Actuals report after each event
    • Assist in booking site visits (flights & ground transportation)
    • Research gifts, room drops, excursion ideas, venues, destinations and various locations for potential events
    • Assist onsite at events if needed

    Minimum Qualifications (These are the requirements that all applicants MUST HAVE to be considered for this position)

    • Must be detail-oriented and possess great customer service skills
    • Great team player in a fast paced changing environment
    • 1-2 years of customer service or Hospitality experience

    Preferred Qualifications


    • Educational focus on Event Planning, Hospitality or Tourism/Travel.
