  • Position Summary

    The Purchasing coordinator I is responsible for supporting the maintenance of existing SKU’s within the product portfolio of finished goods. This role has strong connections internally with the Supply Chain team to coordinate the operational tasks associated with maintaining a SKU in inventory. The role ensures the documentation requirements are in place to not interrupt production schedules with the third-party manufacturers and that finished goods are delivered per the agreed to terms and conditions set by the Buyer. The Purchasing Coordinator will harmonize internal systems for the Finished Goods Purchasing team, while supporting business growth and achieving service, quality and cost objectives.

    Essential Duties & Responsibilities (Other duties may be assigned)

    • Track purchase orders, monitors vendor quality, and maintains a current database of vendor information.
    • Upload reports from the third-party manufacturers to minimize interruptions to the supply; including manufacturing reports and coordinates receipts of other goods.
    • Communicate need to expedite orders to third party manufacturer to ensure arrival timing aligns with the Demand Planning team’s needs
    • Create, transmit, review and prioritize approved purchase orders and supporting documents to supplier that align with the Procurements team’s priorities.
    • Track order acknowledgement from vendors, reviews and evaluates weekly vendor production report for order confirmations and accuracy.
    • Communicate risk items internally and to the third-party manufacturer to prevent shortage and out of stock situations, provides visibility to any potential interruptions to open orders.
    • Track orders and confirms vendor lead times, delivery dates, and maintains current costs within AX for existing SKU’s.
    • Interface with Demand Planning to plan and prioritize purchasing activities; reviews purchasing plan and creates PO’s.
    • Support continuous improvement initiatives across product categories and streamlining communication with Buyers.
    • Prepare, process and maintain various forms/documents involving change orders, manufacturing reports (when needed), price comparisons and trade agreements.
    • Prepare clear, accurate, and concise reports, specifications, correspondence and other written materials.
    • Act as liaison between Procurement and Accounting department and resolve invoicing discrepancies with Accounts Payable to streamline vendor payouts.
    • Support AX improvements and lead testing initiatives, create SOPs on behalf of Procurement team.
    • Assist buyers in coordinating Return Material Authorizations (RMAs) and return shipments for incorrect, damaged, or unwanted materials.
    • Handle routine interactions with customers/suppliers and provide a service that is customer friendly.
    • Pull, compile and manipulate data for analysis and decision making including cost comparisons received from vendors.

    Minimum Qualifications (These are the requirements that all applicants MUST HAVE to be considered for this position)

    • Associates Degree from an accredited institution or equivalent experience.
    • 2 years of experience in a general business or customer service setting.
    • Skilled in the use of Microsoft office software to include Word, Excel, PowerPoint, and Outlook.
    • Strong interpersonal skills, detail oriented and able to coordinate/manage multiple tasks simultaneously.
    • High level of professionalism and ability to develop effective relationships with suppliers and across functions internally.

    Preferred Qualifications

    • 2 years of contract manufacturing experience; combination of related supply chain training, purchasing practices, and/or contract management.
    • Bachelor’s degree from an accredited institution or equivalent.
    • Experience in a food or pharmaceutical ingredient sourcing or procurement role.
    • Software implementation experience.
    • Experience in Microsoft Dynamics AX and SharePoint.
